Most families visit three or four properties, walk through a decorated hall, look at the lawn, and decide on the feeling. The feeling is not wrong — but by the time a venue is booked, roughly sixty per cent of the wedding’s cost structure is already fixed. It is worth spending an extra twenty minutes on the site visit asking things that nobody volunteers.

1. What is the real capacity with a stage and food counters in place?

Every venue quotes a seating number. That number is usually taken before a stage, a dance floor, nine food counters and a photo booth are added. Ask what the hall holds comfortably once your actual layout is in it — and then ask to see a photograph of a wedding of your size held there.

2. How high is the ceiling, and where are the pillars?

Ceiling height decides whether a mandap can have a canopy, whether drapes hang or sag, and whether a floral installation looks generous or claustrophobic. Pillars decide sightlines. A hall with an obstructed view from the last third of the seating will need a screen, and that is a production cost.

3. Can we bring an outside decorator and caterer?

Several Indore hotels either require in-house décor or charge a substantial fee to allow an outside team. This single answer can move your budget more than any design choice. Ask for the policy in writing, including the deposit and the amount, before you sign.

4. How many hours do we get for setup?

A full décor build needs eight to fourteen hours. If the venue has another function the previous evening and hands over at 6 am for a 7 pm wedding, the design has to be built in modules off site — which is possible, but it changes what is realistic. Ask specifically when your crew can enter, and what an extra setup day costs.

5. What is the sanctioned power load, and is there a generator?

Lighting, sound, LED walls, kitchen equipment and air coolers add up quickly. Ask for the sanctioned load in kilowatts, whether a generator is included or charged per day, and whether the changeover is automatic. On a lawn, assume you are bringing power in.

6. Where do the baraat and the guest cars go?

A baraat needs a route with enough width for a procession and enough time to not block traffic. Guests need parking that does not spill onto a main road. If the venue is on a busy stretch, the answer is usually valet plus marshals, and that is a line in your budget rather than an afterthought.

7. How many rooms are actually available on our dates?

Hotels hold inventory back during peak season. Ask how many rooms you can block at a fixed rate, by when you must release them, and what the cancellation window is. A block released too late is money quietly lost.

8. What is included, and what appears later?

Ask for the list — tables, chairs, linen, basic lighting, air conditioning hours, service staff, a bridal room, valet. Then ask what is billed separately. Most venue disputes come from an assumption on one of these items rather than from the headline rate.

9. Is there a noise deadline?

Many venues have a fixed cut-off for loudspeakers, and residential neighbours make it real. Plan the sangeet sequence around the deadline instead of discovering it at eleven at night with four performances still pending.

10. What happens if it rains?

For any outdoor function, ask what the wet-weather fallback is, how quickly it can be deployed, and whether it costs extra. A venue that has a clear answer has done it before. A venue that shrugs is telling you something useful.
